What do wedding planners do?
A couple of years ago I helped plan and execute a reception for a couple who had a private ceremony at an ashram in California and then decided to have their reception for friends and family here in Calgary. I did all the communicating with the bride and did not meet the groom until the day of the reception. So, at one point during the reception the groom asked me: “What exactly does a wedding planner do?”. I have to admit I was a little taken aback by his question considering I had been working with this wife for over 8 months. So, I gave him the abridged version and then I started thinking that there probably are a lot of people in this world who have no idea what we do; hence this blog.
Our primary function is to keep our clients organized while helping them plan and coordinate their wedding. We introduce them to appropriate vendors, negotiating the best deals and read all contracts to make sure everything is in order. Advising them on wedding etiquette as well as suggestions from past experience. Keeping the couple on budget is a big part of our role and suggestions on how to cut back on the budget if necessary. Helping create decor or advising on the best decor ideas. Creating a timeline as well as a processional if necessary. The day of the wedding, coordinating all vendors and making sure all decor items are set up to the couples specification. Handling any emergency and calming nerves. Managing the wedding day from the ceremony to the reception, keeping to the timeline as closely as possible. Our goal is to make sure the couple and their families don’t have to worry about anything but having a good time and creating wonderful memories.
Now, when hiring a wedding planner, it is to your benefit to hire an experienced one. You want an expert who knows what they are doing so that you don’t have to worry about anything and you can trust their judgement as well as their professionalism. Hiring an inexperienced planner may be cheaper in the short term but may end up costing you more money in the long run.
I have heard of a number of couples who said they didn’t need a wedding planner or a wedding coordinator; they can do it all themselves with the help of their family and friends. However, after all is said and done, they always say ” we wisher we had hired an expert; having a professional we would have saved us worry and stress and we could have relaxed and enjoyed our day”. Wouldn’t you like to be a “guest at your own wedding“?
